Data Protection Policy and Consent Declaration.

Dunstable Hang-gliding & Paragliding Club 

When completing the membership form, I/We consent to the Club holding these details on file for the duration of our membership.  I understand that the information provided in this form will be used solely for processing my application and for administrative purposes of the Club. The data will not be shared with any third party for marketing or commercial purposes.

The Dunstable Hang-gliding & Paragliding Club Data policy to comply with General Data Protection Regulation (GDPR) from 25th May 2018.

The Dunstable Hang-gliding & Paragliding Club aims to protecting and respecting your privacy.

What personal data we hold on you. You will give us information about you by filling in membership joining forms or by corresponding with us by phone, e-mail or otherwise. This includes information you provide when you initially joined the Club and information supplied from the BHPA regarding the currency of your BHPA membership and flying categories. NB: We ask for health information which a member thinks relevant to club activities.

Why we need your personal data. The reason we need your personal data is to be able to administer your membership, and provide the membership services you are signing up to when you register with the club.

Reasons we need to process your data include:

For training and flying qualification/endorsement  

  • Sharing personal data with club instructors to administer training sessions.

For group and individual communication

  • Email, Facebook posting or telephone, for information dissemination, enquiries regarding upcoming operations, location of Club equipment

In case of an accident / injury

  • If you have supplied a next of kin we are able contact that person if necessary, or the information can be provided to the emergency services, BHPA & AAIB.

For funding and reporting purposes

  • Sharing anonymised data with a funding partner as condition of grant funding e.g. Local Authority or Lottery funding
  • Analysing anonymised data to monitor club trends
  • Submission of the annual club survey to the BHPA.

For membership and club management  

  • Processing of membership forms and payments
  • Sharing data with committee members to provide information about club activities, membership renewals or invitation to social events
  • Management of club accounts
  • Club newsletter (none currently) /group-email promoting club activity e.g. events or visits.

Health Records  If a member has a particular relevant (critical) health issue this will be held on file, only to be processed for the explicit purpose(s) relating to Club operations/personal safety, e.g. passing health data to instructors to ensure safe operation within the Club. We process this data on the lawful basis of consent.

Communications In addition to the club website, the Club currently use the following social media: Facebook & Telegram. The Club has a closed group on Facebook. All members are free to join these pages. ‘Official’ Club documents that include members’ personal data are held on our website, which has access restricted to DHPC Committee members only. If you join one of the Social Media pages, please note that provider of the social media platform(s) have their own privacy policies and that the club does not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data on the club social media pages.

Who we share your personal data with. When you become a member of the Dunstable Hang-gliding & Paragliding Club, you will also automatically be recorded as such to the British Hang Gliding and Paragliding Association (BHPA). This does not equate to your becoming a member of the BHPA.

How long we hold your personal data. We will retain your personal data on file indefinitely (minimum 6 years) unless advised otherwise. We are also obliged to keep training records of our Junior Members until six years after that member’s 18th birthday.

Your data is not processed for any further purposes other than those detailed in this policy.

If you or any family members listed on this Application Form later wish to withdraw consent for the Club making use of the information you have provided, or any other data provided at a later date, please contact the Club Secretary
